Attending a meeting via Zoom

Participants requesting to attend the Planning and Consultation Committee meetings via Zoom are encouraged to test their device and network access before the meeting.

Zoom support for users can be accessed on the Zoom support page.

Participants are asked to use their full name as their user name so that they can be identified and given access to the meeting. Access will not be given unless you are identified as the person registered or speaking on behalf of another person.

To facilitate the smooth running of the meeting:

  • Join the Council meeting by 7pm.
  • You will be placed in a waiting room on entry. (Please note, you cannot view or hear the meeting from the waiting room).
  • When invited by the Chairperson, you will be let into the meeting.
  • Upon entry, please ensure your camera and microphone are turned on.
  • Turn off or mute any other devices that may be running in the background.
  • At the conclusion of your presentation to the Committee you will be moved back into the waiting room. You can then leave the meeting. If you are speaking to a second item, please remain in the waiting room.
  • If there are ongoing technical difficulties, device interference or the meeting is unable to hear you, you may be removed from the meeting without notice.
  • When entering the meeting, you will be onscreen and will be broadcast and recorded as part of the livestream. Meeting recordings are kept as a permanent record and are made publicly available following the meeting on an ongoing basis.

Note

As the livestream of the Council meeting is slightly delayed we recommend you don't watch the livestream on a second device or screen while in the Zoom waiting room. If you choose to watch the livestream on a second device or screen, to avoid it affecting your participation in the meeting we ask that you close or mute the livestream prior to the commencement of your item.

Council is unable to provide technical assistance for participants.

The meeting cannot be delayed to accommodate for a virtual participant’s technical difficulties or late attendance.
